Event merchandise is constrained by a real selling window. A sparkling design alone will not prevent an incorrect date, unbalanced size mix, or late artwork revision from making stock unusable. Treat the graphic, decorated garment, assortment, and packout as separate approval points.

Freeze event-specific details

Check names, dates, venue references, licensed marks, and spelling with the event owner. Mark which artwork can be reused and which is tied to one date. Keep a dated approval file so an older proof cannot re-enter production.

Test the sellable item

Choose the garment style, colors, size range, and placement before approving transfers. Inspect a decorated sample at physical size, including legibility, alignment, and relevant care. A transfer sheet by itself does not show how the event shirt will sell or wear.

Plan allocation and packout

Record quantity by size, color, design, and destination. Define inner-pack labels and who verifies the count on arrival. Ask for current production and shipping terms for the actual assortment; do not assume a historical event schedule is repeatable.

A decorated sample does not tell the packer how many shirts of each size and design should go to each destination. Connect the approved garment to an allocation sheet that can be reconciled before the event window.
