A freight quotation and a product quotation may describe different handoff points. Incoterms rules allocate specified delivery responsibilities and risks, but the chosen rule must be recorded with its named place and edition in the sale agreement. Use a short responsibility table for contracting, packing, carrier booking, export and import formalities, cargo cover, tracking, and receiving. Have the parties compare it with the official selected Incoterms rule and sale agreement.

Specify the handoff
Ask the contracting parties to write the selected rule, edition, and precise named place, then review the official ICC wording with their trade or legal adviser. Do not rely on an abbreviation in an email subject to settle loading, customs, insurance, or delivery questions.

Record carton count, dimensions, weight, marks, packing list, product identity, and who supplies the carrier instructions. Decide whether a dispatch photo, collection receipt, or other document is needed for the buyer's receiving process.

Plan exceptions
Identify who arranges cargo cover if required, checks import requirements, receives tracking, handles damage evidence, and resolves missing cartons. Confirm current route feasibility, charges, and dates with the relevant parties. Ask a qualified adviser to review the final contract and destination requirements.
