Campaign sourcing

Private-Label Promotional Products: Source to a Campaign Brief

Align artwork rights, product fit, packing, event schedule, and approval ownership.

Buyer perspective

Promotional merchandise is often judged by a fixed campaign date, but product quality and identity cannot be skipped to meet it. An accessory, patch, or transfer should be selected for the recipient and use context first. Then its artwork, packaging, and delivery assumptions can be reviewed as a coherent project.

Options

Compare campaign options against the use case

Promotional sourcing is not simply choosing the brightest sample. Score each physical option against the recipient, distribution method, brand legibility, and feasible approval schedule.

Recipient

Check whether the item's size, attachment, and materials suit the intended audience and handling.

Brand

Inspect the logo at actual scale and separate licensed artwork from any design variation requiring approval.

Delivery

Compare sample gate, pack complexity, dispatch assumptions, and receiving time without asserting a guaranteed event arrival.

A simpler product with an approved identity can be preferable to an elaborate item whose sample or schedule remains unresolved.

What to decide

Build a brief that can be tested

Buyer worksheet

  1. 01

    Describe the recipient

State how the item will be distributed, worn or attached, and handled. Include target dimensions, color palette, any child or skin-contact considerations, and destination markets. Obtain permission to use the logo and define who will approve any adaptation for a small surface.

  2. 02

    Compare physical options

Request samples at the real size and inspect readability, finish, backing or hardware, and pack presentation. A mockup on a screen can hide thin lettering, sharp edges, or scale problems. Keep alternatives clearly labeled so an inexpensive substitute is not mistaken for the requested build.

  3. 03

    Build a campaign gate

Work backward from the event using artwork approval, prototype, production release, packing proof, dispatch, and receipt. Ask for current feasibility by quote; do not promise a rush schedule or destination arrival based solely on a page title.
