Private-Label Accessory Sample Approval Checklist
Approve private-label accessories through one traceable record of product, branding, hardware, packaging, variants, and sign-off.
Buyer perspective
A sample can look ready while its label, hardware, or retail pack is still undecided. Private-label approval should cover the complete item the customer will receive, not only its decorative face. Give the physical sample a code and link every accepted detail to that one reference.
What to decide
Build a brief that can be tested
- Scene 01
Identify the full item
Record dimensions, materials as stated by the supplier, colors, component count, hardware or closure, and intended use. Photograph front, reverse, sides, and any moving part. Compare the sample with the quote so an attractive substitute is not approved by accident.

Add the private label
Check logo rights, placement, legibility, attachment, and packaging text on the final item. Determine which party supplies any required market or product information; do not invent legal or certification claims for a hangtag.

Control changes
Record variant codes, accepted tolerances, packaging unit, approval owner, and date of sign-off. A revised material, clasp, print, or pack needs a documented disposition. Keep the retained sample available for production and receiving comparisons.

Close the sample passport after a component change
A private-label charm arrives with an alternate clasp after its decorative body was approved. That new hardware changes the complete item. The approval record should show whether the substitution is accepted, revised, or rejected before a production lot is released.
Identify the change
Compare old and new clasp dimensions, finish, operation, and full hanging length. Link the substitution to the existing item and variant code.
Check branded presentation
Fit the assembled sample into its planned card or pouch and verify logo placement, product information, and pack protection. Do not approve hardware in isolation.
Sign the disposition
The named buyer records a dated decision and retains the accepted physical sample. Update specifications and receiving checks only after that decision.
A sample passport prevents a visually small component change from becoming an undocumented product change.
