Sourcing-Agent Brief for Patches, Labels, and Transfers

Translate a principal's design intent into comparable samples, evidence, and an auditable supplier decision.

Buyer perspective

A sourcing agent has two audiences: the buyer who owns the brief and the maker who must execute it. Ambiguous words such as premium, soft, or durable travel badly between them. A controlled specification and approval trail lets an agent compare candidates without silently changing the client's requirements.

Build a brief that can be tested

01Review file

Normalize the request

Collect final artwork, item dimensions, substrate, attachment route, quantity by variant, destination, and any required evidence. Mark which fields are mandatory and which are open to alternatives. Obtain permission before circulating confidential graphics or brand names.

02Review file

Compare equal samples

Request physically comparable specimens with material and backing identified. Record differences in relief, edge, color, placement, and packaging. Price is meaningful only when candidates cover the same deliverable and the quote identifies exclusions.

03Review file

Close the approval loop

Send the principal a concise decision record with sample codes, unresolved tests, quote assumptions, and photographs under consistent conditions. Do not turn an untested suggestion into an approved substitution. Keep the final accepted specimen tied to the purchase revision.

Show the principal a decision record

An agent should not compress three distinct offers into one recommendation without preserving why they differ. Present the proposed construction, observed sample, and quoted scope for each candidate side by side.

Conformance

Mark every deviation from the principal's approved drawing and label whether it improves, weakens, or changes the brief.

Evidence

Attach sample code, application observation, packing example, and any product-specific documents the principal requested.

Terms

Compare inclusions and assumptions instead of unit figures alone; distinguish confirmed answers from open questions.

The principal's explicit choice should identify a physical build, not merely a supplier name or a persuasive photo.
