Buyer perspective
A screenshot can communicate an idea, but it rarely carries enough information to quote or reproduce a trim. A useful file package lets the reviewer identify exact outlines, sizes, color intent, and what may be adjusted if the process cannot hold a tiny feature.
What to decide
Provide vector source when available, with text outlined or fonts supplied under a usable license. Keep layers named for color, cut edge, and any raised or recessed zones. Also include a simple PDF or image preview so the intended appearance is visible without editing software.
Specify finished width and height in physical units, plus placement and viewing distance. Mark details that are essential to recognition. Ask the supplier to flag any feature that may need simplification rather than silently changing it.
Give every file a revision identifier and one contact who can approve changes. Record the approved proof beside the actual sample and quotation. When color or size changes, treat the result as a new variant instead of assuming the old approval applies.
Approval gate
Before a custom-trim request moves to sampling, the buyer can verify whether the basic file package is usable.

One person can approve proposed simplifications and holds the current brand-color references.
