Artwork and Digitising: Prepare a Production-Ready Brief

Clarify the inputs, review stages, and output ownership needed when artwork must be prepared for patches or garment decoration.

Buyer perspective

Artwork preparation and embroidery digitising are not interchangeable tasks. One refines the visual design; the other translates approved art for a particular stitch process, size, and material. The image shows an embroidery outcome, not evidence that a specific service is included in every order.

What to decide

Build a brief that can be tested

Identify the starting asset

Send the highest-quality original available and state whether it is editable vector art, a raster image, or a physical sample. Include brand color references and proof of rights to use the mark. Flag lettering and shapes that cannot be simplified.

Specify the intended process

Name the receiving product, finished decoration size, and whether the output is an embroidered patch, direct embroidery, heat transfer, or another format. Digitising decisions depend on the actual process and substrate, so a file prepared for one use should not be assumed portable.

Agree on approval deliverables

Ask what proof, sample, revision allowance, and final files are part of the quote. Keep ownership and reuse rights in writing. Approve a physical result where texture and scale matter rather than relying on a screen rendering.

Sample the result and document revisions when texture, small lettering or color behaves differently than the screen art.

Request a list of deliverables and rights for each task in the quote. A production file may not be a reusable design master.
