Use a stock-design catalog without assuming ready inventory: confirm artwork identity, current availability, permitted changes, sample, and reorder code.
Buyer perspective
A catalog image can mean approved artwork, a previous sample, or physically available units. Those are different buying states. Before promising quick dispatch or adding a design to a retail offer, ask what exists now, what must be made, and which parts of the design can be altered without a new approval.
What to decide
Studio study 01
Record the reference code, motif, physical size, colors, material and backing as quoted, plus the image revision. Do not treat a generic family photograph as a specification for every colorway. Ask whether the displayed item is current and whether a sample represents the same construction.
Studio study 02
Request a dated response distinguishing finished on-hand units, reusable artwork or tooling, and made-to-order production. Confirm quantities and delivery terms for the selected destination. A prior design can still require new materials, sampling, or an updated quotation.
Studio study 03
List any requested logo, color, size, or backing change as a new variant. Review a physical or applied sample where the change affects use. Keep the accepted design identity and current commercial terms together for replenishment.
Approval gate
A buyer finds a popular motif in a design gallery and advertises fast delivery. The supplier may have only the artwork, not finished sheets. The catalog approval must distinguish an existing pattern from physically counted ready units.
Capture current artwork code, version, dimensions, color, carrier or backing, and image date. Ask whether the pictured specimen still matches the proposed build.
Obtain a dated statement of finished units, reusable preparation, or made-to-order status for the exact variant. Confirm quantity and destination assumptions.
Only publish timing and construction supported by the current quote. If the buyer changes size, color, or backing, create a new line and sample disposition.
An existing design file is not the same commercial fact as inventory ready to ship.
