Buyer perspective
Different samples answer different questions. A stock reference can show a material effect, a custom prototype can test the artwork, and a preproduction sample can establish the exact build intended for an order. Buyers should agree on the purpose, cost, timing, and sign-off of each stage for their project.

Define the decision a sample must unlock. An attractive stock swatch may help select a finish, while only an applied project-specific specimen can resolve compatibility with the intended product.
Reference
Use to compare a material or effect; mark any mismatch with the planned artwork or substrate.
Development
Use to test a proposed construction and record revisions still needed before production.
Preproduction
Use to approve the final material, art, backing, application, and pack tied to a quote.

Name the stage
Ask whether the proposed piece is an off-the-shelf reference, a new construction trial, or a sample made with production materials and packing. Record what it can and cannot validate. Do not let approval of color on a swatch silently approve backing or application.

Define review criteria
Measure physical size, inspect finish and edge, test attachment on the intended substrate, and review relevant care. Keep written comments linked to an item code and artwork revision. A changed material or motif should return to the appropriate review gate.
