Transfer release record

Rhinestone Transfer Sample Approval Checklist

Approve a rhinestone transfer with linked artwork, stone layout, carrier identity, actual garment application, and signed revision status.

Buyer perspective

A sample approval should answer what was accepted and where it was tested. A photograph of a loose transfer may confirm motif appearance but not garment fit or application. Give the sample a stable identity, record the variables that matter, and make the decision reproducible for production and later reorders.

Approval gate

Carry one sample identity through the approval sequence

The first prototype has the right sparkle, but the team cannot tell which carrier or artwork revision was used. A release decision needs a trace from loose sheet to applied garment. Build the record before asking the approver to sign a photograph.

  • Before application

Assign an identifier to the sheet and record artwork revision, outside dimensions, stone layout, color, and carrier markings. Photograph front and back beside the identification card.

  • During the garment trial

Log exact blank, color, size, placement, equipment, and the supplier's current instructions. Note any adjustment made in the trial so the result is not mistaken for an unmodified specification.

  • At release

Inspect the cooled garment and relevant care result, then record accept, revise, or reject with approver and date. A revision that changes the sheet or blank gets a new sample identity.

The approval is reproducible only when the accepted object and applied conditions remain linked.

What to decide

Build a brief that can be tested

  1. 1

    Milestone 01

    Identify the sheet

Record design code, artwork revision, outside dimensions, orientation, stone color and layout, carrier condition, and any marked difference from the quotation. Keep the actual sample or a clearly labeled reference image so the team cannot confuse similar motifs.

  2. 2

    Milestone 02

    Document the applied result

State the exact blank, fabric, size, color, placement, equipment, and current process instructions used. Inspect after cooling for alignment, missing stones, fabric effects, and relevant care response. Approval of the sheet and of the decorated garment are separate checkpoints.

  3. 3

    Milestone 03

    Close the decision

Name the approver and record accepted, revise, or reject with a date and reason. If a revision changes stone placement, carrier, or garment, give it a new identifier. Share the accepted reference with purchasing, decorating, and receiving teams.
